The Most Wonderful Time of the Year - SharePoint Maintenance Time!

As the holiday season approaches, many of us find time to celebrate, reflect, and create cherished memories with loved ones. While the season can bring its share of ups and downs, it’s also an opportunity to rest and recharge for the year ahead. For many organizations, December is a quieter time, offering some much-needed breathing room as the year winds down.

This pause presents a perfect opportunity to tackle some basic maintenance and housekeeping tasks in your SharePoint and Teams environments. Regular upkeep of your Microsoft 365 tools not only ensures security but also keeps your environment running smoothly as you prepare for the year to come.

 

Here are some key tasks to consider:

Clean Up Guest Access

Review your Entra ID (formerly Azure AD) user list and remove any guest accounts for individuals no longer actively working with your organization. Similarly, if there are active federations with organizations you no longer collaborate with, consider ending those connections.


Review Departed User Accounts

Audit user accounts for former employees. If the data is no longer needed, clear it from the system. For any critical data tied to these accounts, explore long-term solutions to securely store this information outside their accounts.


Validate SharePoint and Teams Ownership

Check your list of SharePoint sites and Teams. Reach out to owners to confirm their awareness of their responsibilities and ensure all sites have active, engaged owners. If any sites or Teams lack active ownership, now is a great time to assign someone new to manage them.


Follow Your Records Management Policy

If you have a records management framework, use this time to review and delete any unnecessary data in line with your policy.


Inspect Add-ins and Integrations

Review your SharePoint add-ins to confirm they are up-to-date and functioning as expected.


Conduct Permissions Audits

Ask your SharePoint administrators to perform a quick permissions audit to verify access controls are appropriate. If you use SharePoint Advanced Management, run the Sharing Links Report to identify and address any potentially risky shared links.


Verify Backups

If you rely on a backup tool, confirm that your backups are functioning correctly and that data integrity is intact.


Address Admin Alerts

Log into your Microsoft 365 admin center to check for outstanding alerts or flagged issues that may need attention.

 

Performing these tasks at least once per year is vital to maintaining a secure, well-organized SharePoint and Microsoft 365 environment. A little time spent on proactive maintenance now can save you significant headaches down the road.
